JOB TITLE: C-Suite Executive Assistant

TYPE OF POSITION: Full-Time

EXPERIENCE LEVEL: Senior.

KEY RESPONSIBILITIES:

  • Serve as the operational right hand of the CEO, CTO, and other founders
  • Coordinate meetings, calendars, inboxes, and recurring rituals across teams
  • Drive internal communication and ensure leadership alignment
  • Draft, organize, and maintain SOPs and internal documentation
  • Help manage key projects and follow-ups on behalf of the founders
  • Liaise with both internal teams and external partners/clients when needed
  • Support hiring, onboarding, and internal knowledge organization
  • Anticipate needs and solve problems before they surface

REPORTING STRUCTURE:

  • Reports To: CEO (primary), plus other co-founders
  • Team Collaboration: Marketing, Operations, Freelancers, Contractors

PERFORMANCE GOALS:

  • In 60 days: Implement a structured, searchable SOP repository and internal workflows
  • In 6 months: Founders spend 80% of time on strategic, high-leverage tasks
  • In 12 months: You are the operational nerve center of the company

PREFERRED WORKING HOURS/TIME ZONE:

  • CET working hours, with some flexibility for async coordination
  • Daily overlap with leadership required

REQUIRED SKILLS AND COMPETENCIES

  • Essential skills:
    • Strong executive support experience in remote and fast-paced environments
    • Operational thinking and process documentation ability (SOPs)
    • Excellent written and verbal communication in English
    • Highly organized, proactive, and resilient under pressure
  • Desirable skills:
    • Experience managing remote teams or freelancers
    • Understanding of SEO, agency workflows, or online businesses
    • Familiarity with internal automation or async ops
    • Proficient with Monday.com, Google Drive, and Discord

  • Monthly Tasks:
    • SOP audits and improvements
    • Reporting and goal alignment
    • Leadership syncs
    • Documentation and onboarding workflows
    • Hiring coordination if needed
